    Job Summary:


    The incumbent provides administrative support/services to the CEO and to accounting supervisors within the finance department


    Principal Responsibilities:


    Executive Support

    • Composes general business correspondence, reports and presentations, processes documents for approval, and handles information requests.
    • Conducts research, compiles data, and prepares statistical reports.
    • Help translate documents and meeting materials for CTO and other executives from English to Japanese, or Japanese to English.
    • Develops and maintains the CEO’s and CTO’s daily calendar handling meeting requests and scheduling while screening telephone calls, emails and incoming/outgoing mail.
    • Coordinate executive meetings, including Company’s Board of Director and AGM across multiple time zones and locations, prepares meeting agendas, meeting minutes and related documents, circulating to appropriate participants.
    • Requires coordination and communications with administrative counterpart in the Japanese Headquarters on BOD and other matters relative to the office of the CEO.
    • Arranges travel plans/itineraries for members of the executive team and assists visitors traveling to office.
    • Prepares and submits expense reports, maintaining related documentation/receipts while managing and reconciling assigned corporate accounts (e.g. credit card, corporate mobile plan and the like).
    • Manages and maintains office supplies and services, including office equipment, tracking and ordering supplies, and maintains filing system and record keeping.
    • Other related duties as assigned.


    Accounting Support

    • Calculate, prepare and issue documents related to accounts such as bills, invoices, inventory reports, account statements and other financial statements using computerized and manual systems.
    • Maintains accurate records and ensures compliance with applicable legislation.
    • Perform accounting and clerical functions to support supervisor.
    • Other related duties as assigned.


    Job Requirements:

    • 7+ years of administrative/secretarial experience with 3+ years of related experience supporting an executive. Completion of a secretarial training program/college degree preferred.
    • Related accounting or administration experience.
    • Excellent interpersonal, written and oral communication skills in both English and Japanese.
    • Strong PC skills e.g. Word, Excel, Power Point and MS Outlook required. Additional Japanese word processing/spreadsheet software experience preferred.
    • Experience making domestic and international travel arrangements.
    • Strong organizational, planning, problem solving and research skills.
    • Extremely detail oriented.
    • Proven ability to effectively prioritize work flow and manage multiple projects simultaneously.
    • Ability to exercise good judgement, discretion, show initiative and be proactive.
    • High standards of ethics and confidentiality to handle sensitive information.
    • Ability to work with minimal supervision.

    Working Conditions:


    The role will require working in an office environment and sitting and using office equipment and computers for extended periods of time. This position will also have to do some lifting of office supplies and materials of up to 20 lbs. occasionally.
